In plain terms
This policy explains what we do with information about you when you visit our website, contact us, or ask us for something. It covers the information you give us and the information the website collects while you are using it. It tells you why we hold it, how long we keep it, who we share it with, and the rights you have over it. If anything here is unclear, contact us and we will explain it.
1. Who we are
We are EmpowerPath Solutions Limited, a company registered in England and Wales under company number 16295086, with our registered office at Unicorn House, Station Close, Potters Bar, Hertfordshire EN6 1TL. In this policy, “we”, “us” and “our” mean EmpowerPath Solutions Limited.
We are the data controller for the personal information described in this policy. That means we are responsible for how it is used and kept. If you have any question about this policy or your information, contact us at info@empowerpath.co.uk.
2. What this policy covers
This policy covers people who visit our website, contact us, give us feedback, or ask us for a document or publication. It explains what happens to the information we hold about you in those situations, where we are the ones deciding how it is used.
It does not cover the personal information we handle on behalf of a client during a piece of work, for example information about their staff or customers that we see while carrying out Roadmap or Build. In that situation we are handling the information on the client’s instructions, not our own, and how it is handled is dealt with in our Terms of Service and, where an engagement needs one, a separate data processing agreement.
3. The information we collect, and why
We only collect information we actually need, and we use it only for the reasons set out below. UK data protection law requires us to have a lawful basis for each use, and we have stated it in each case.
When you send us an enquiry by email, or use the enquiry form on our website, or give us feedback, we collect your name, email address and, if you provide it, your phone number, along with whatever you tell us in your message. We use this to respond to you and to deal with what you have asked about. Our lawful basis is our legitimate interest in answering people who contact us, and, where your enquiry is about possible work, taking steps at your request before entering into a contract.
When you ask us for an electronic document or publication, we collect your name and email address so we can send it to you. When you ask for a printed document, we collect your name and postal address so we can post it. Our lawful basis is our legitimate interest in responding to your request.
When you use our website, we collect information about your visit through cookies and similar technology, as described in the cookies section below.
If, in the future, you choose to sign up to receive content, updates or a newsletter from us, we will collect your name and email address for that purpose. Our lawful basis will be your consent, which you can withdraw at any time. We are not currently sending marketing emails, and this will only apply once you have actively signed up.
4. Cookies and website analytics
Our website uses cookies and similar technology. Some are essential to make the site work. Others are analytics cookies that help us understand how the site is used, for example which pages people visit and how long they stay, so we can improve it. Our website analytics are currently provided by Google Analytics.
Analytics cookies are not essential, so we will only use them where you have given your consent through the cookie banner on our website. You can change or withdraw that consent at any time through the cookie settings on the site or through your browser. Analytics information is used to understand general patterns of use rather than to identify you personally, but because it can involve information such as your device and approximate location, we treat it as personal information and handle it accordingly.
5. How long we keep your information
We do not keep personal information for longer than we need it. Where you have made an enquiry that does not lead to work, we keep your details and correspondence for up to 12 months and then delete them, unless you ask us to remove them sooner. Where you become a client, we keep records relating to the work for as long as we are working together and for up to six years afterwards, which reflects our legal, tax and record-keeping obligations. Analytics information is kept for the period set within our analytics provider’s settings and is then removed or aggregated.
If at any point you would prefer we did not keep your name, address or email address after we have dealt with your request, tell us and we will remove it, unless we are required to keep it by law.
6. Who we share your information with
We do not sell your information, and we do not share it with anyone else for their own use. We do use a small number of trusted suppliers who process information on our behalf so that we can run our website and respond to you. These include our website host and platform provider, the provider of our enquiry form, our email provider, our website analytics provider, and, once it is in use, our email marketing provider. Each of these is only permitted to use your information to provide their service to us, and under our instructions.
We will disclose personal information if we are required to do so by law, for example in response to a lawful request from a public authority.
7. Information sent outside the UK
Some of our suppliers process information on servers outside the United Kingdom. Where that happens, we make sure the transfer is covered by appropriate safeguards recognised under UK data protection law, so that your information continues to be protected to the same standard.
8. Keeping your information secure
We take reasonable steps to keep your personal information secure and to protect it against loss, misuse or unauthorised access. No information sent over the internet can be guaranteed to be completely secure, and we cannot guarantee the security of information you send us online, but we protect it once it reaches us.
9. Your rights
Under UK data protection law you have a number of rights over your personal information. You have the right to ask us for a copy of the information we hold about you, and to have it corrected if it is wrong. You can ask us to delete it, or to restrict or stop using it, and you can object to us using it. Where you have given consent, you can withdraw that consent at any time, which will not affect anything done before you withdrew it. Where it applies, you can ask us to provide your information in a portable form.
To exercise any of these rights, contact us at info@empowerpath.co.uk. We will respond within the time limits set by law, normally within one month.
10. How to complain
If you are unhappy with how we have handled your personal information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, which is the UK regulator for data protection. You can find their contact details and how to complain at ico.org.uk.
11. Other websites
Our website links to other websites. Once you follow a link to another website, this policy no longer applies. The privacy practices of other websites are their own responsibility, not ours, and we would encourage you to read their privacy policy before giving them any information.
12. Changes to this policy
We may update this policy from time to time. The version and date at the top show when it was last changed. Where a change is significant, we will make that clear on this page. We would encourage you to check it from time to time so you know what our current policy is.
13. How to contact us
If you have any question about this policy, or about how we handle your personal information, contact us at info@empowerpath.co.uk, or write to us at EmpowerPath Solutions Limited, Unicorn House, Station Close, Potters Bar, Hertfordshire EN6 1TL.
